Our Terms And Conditions

1. These Terms & Conditions apply to all reservations. Reservations become legally binding upon the receipt of confirmation, whether conveyed verbally or in writing, and upon receipt of the required deposit from the client, if applicable. Once the deposit is received, it becomes non-refundable.

2. In this agreement, the term "Transporthire" refers to "Transporthire® UK.

3. Transporthire UK (or its representatives, employees, or affiliated companies) is not responsible for any losses incurred by customers or passengers due to accidents or road traffic delays. Any issues related to this matter should be addressed between the group leader, the traveling passengers, and the contractor (driver). Please remain seated while the vehicle is in motion.

4.Transporthire UK does not provide, nor does anyone have the authority to provide, any explicit or implied warranties or representations regarding reservations.

5.Transporthire® UK is granted the following permissions:

(a) We retain the right to cancel, suspend, modify, or withdraw any booked travel, accommodation, or services if we cannot fulfill the booking. In such cases, a full refund will be issued for the affected service, and we will notify you in advance. Cancellations may also occur due to reasons like vehicle breakdowns or unforeseen circumstances, but we will strive to offer suitable alternatives. Please note that any extra costs resulting from last-minute changes, whether initiated by us or you, will not be our responsibility.

(b) We have the authority to deny service or accommodation to individuals without the need to provide a specific reason for our decision..

6. Fees for all transactions will be determined by the prevailing prices at the time of facility usage and may change without prior notice if exchange rates or fares are adjusted.

7. Any damage to the vehicle or its fittings, whether caused willfully or due to negligence by any member of the party or group, shall be the responsibility of the Hirer. The Hirer is obligated to reimburse TransportHire, or in most cases, the contracted company, for the repair costs associated with such damage, as well as any losses or downtime of the vehicle resulting directly from the incident. We or our contractor reserve the right to make a claim against the Hirer for expenses incurred due to their behavior, such as diverting the vehicle for the party. Criminal proceedings may also be initiated by us or our CONTRACTOR against the Hirer (client). As a booking agent, TransportHire or any of its subsidiaries are not liable for any damage costs caused by passengers to the vehicle. The Hirer (our client) is fully responsible for any charges, criminal damage, or compensation directly with the contractor (driver), unless otherwise agreed in writing by TransportHire with the contractor (driver). TransportHire will, however, cooperate to the best of their ability with both parties to facilitate legal action, and photo evidence is requested for documentation purposes.

8. The itinerary for the journey will be organized by TransportHire, unless the Hirer specifies a particular route request, in which case a quotation will be provided based on that request. If the Hirer later arranges a deviation from the original route with TransportHire or the driver, incurring additional mileage or time compared to the original route, the Hirer is responsible for covering the extra costs incurred.

9. All hire arrangements are contingent on the availability of a vehicle or vehicles with the required capacity at the requested date and time. TransportHire will not be held accountable if a vehicle quoted for is unavailable. Receiving a quote does not guarantee vehicle availability, and TransportHire reserves the right to refund and cancel the booking if it cannot be fulfilled.

10. Unless otherwise agreed upon mutually, a minimum deposit of 40% of the hire charge (non-refundable) must be submitted at the time of booking to confirm your reservation. In the event that we are unable to fulfill the journey request, the deposit will be refunded.

11. Upon receipt of a confirmation and deposit for a booking, the deposit becomes non-refundable. If a booking is canceled with more than 14 days' notice before the scheduled journey, a 40% cancellation charge will be applied to the total payment. If the booking is canceled between 7 and 14 days before the journey, a fee equal to 50% of the booking cost will be due.

In case of a booking cancellation occurring between 48 hours and 7 days before the scheduled journey, a charge amounting to 75% of the booking cost will be applicable.

(a) If a booking is canceled within 48 hours of the scheduled journey, the entire booking cost will be charged. Once our client boards any of our vehicles, the driver is authorized to transport them to their destination and back. At that point, our contract with you, as TransportHire, is considered fulfilled, and no refunds can be provided for such bookings.

(b) If a canceled booking includes supplementary services such as meals, accommodation, ferry charges, etc., and the service providers impose cancellation fees, these additional charges will be transferred to the hirer, in addition to the previously mentioned cancellation fee.

Please Note

(a) We are unable to provide special rates or concessions for cancellations arising from circumstances such as Coronavirus, illnesses, or global pandemics. Please make a booking for your transfers only if you are certain about your travel plans. We will only accept jobs that we can reliably fulfill.

(b) A fee will be imposed for any rescheduling of transfers. If notified more than 14 days in advance, a 15% charge will be applied. For notifications between 7-14 days, a 30% charge will be incurred. For changes made within 7 days to 48 hours, a 40% fee will apply, and any changes within 48 hours are subject to a zero refund policy, requiring the transfer to be rebooked.

(c) Although the pandemic situation has improved, we strongly recommend that all our clients adhere to current regulations, including social distancing and mask-wearing. Please be aware that we cannot be held responsible for any fines imposed during your travel due to non-compliance with these regulations.

VEHICLE REQUIREMENT
  • All vehicles do not require, therefore do not have safety screens between driver and passengers.

PASSENGER ADVICE
  • We recommend that our passengers take the following precautions when traveling with us in relation to COVID-19. Our guidance is aligned with the most recent UK Government COVID-19 recommendations for the transportation industry.
  • We recommend refraining from traveling with TransportHire if you are experiencing illness or displaying symptoms of coronavirus (COVID-19).
  • While it's not legally mandated, we strongly recommend wearing a face covering during your journey. Our drivers are trained to sanitize frequently-touched surfaces in their vehicles between trips. You are also welcome to use your own disinfectant wipes, with the driver's approval, for added reassurance.

  • Please strive to maintain social distancing when feasible, refrain from shaking hands with the driver, and avoid sitting directly beside them. Use hand sanitizer as needed and minimize touching your face while traveling with TransportHire.
DRIVER ADVICE
  • For drivers at TransportHire, we suggest adhering to COVID-19 precautions based on the latest UK Government guidance. While not mandatory, wearing an appropriate face mask is advised, as long as it doesn't impede safe driving. Promoting external ventilation by keeping windows open during trips is also recommended.
  • Regularly clean your vehicle using gloves and standard cleaning products, paying special attention to high-touch areas like door handles. Seek permission before handling passenger luggage during loading or unloading, and take appropriate hand hygiene measures, including handwashing or using disposable gloves as needed, as a TransportHire driver.
  • Utilize tissues to capture coughs and sneezes, disposing of them hygienically after leaving the vehicle. Maintain a safe physical distance from passengers, refrain from shaking hands in greeting, practice regular handwashing with soap or hand sanitizer, and avoid touching your face as a TransportHire driver.

12. In our capacity as a broker or agent, we may engage in sub-contracting and share journey information with other operators. TransportHire reserves the prerogative to subcontract a vehicle from another operator when the need arises. It is essential to note that all drivers directed by TransportHire for service are adequately insured, possess substantial experience, and hold Full Operator Licenses.

The company's vehicles cannot be sublet, loaned, or licensed by a hirer without the written consent of the company. The company also retains the right to provide a larger or smaller vehicle than initially ordered to accommodate all passengers. In the event of a booked vehicle breaking down, we reserve the right to utilize alternative vehicles, including taxis. By making a booking, you acknowledge your acceptance of this policy, and we shall not be held liable for any claims related to this policy brought by you against us or our suppliers.

13. The driver (contractor) bears responsibility for their vehicle during the entire hire period, and their decisions are conclusive. They hold the authority to deny entry to any individual they deem a nuisance or unsuitable and may request the removal of such individuals from the vehicle before resuming the journey. Additionally, the driver may decline to proceed with the journey if they perceive any safety concerns. Please note that no refunds will be provided to the client in such instances, and TransportHire will not assume responsibility for any resultant actions.

14. If a flight is missed, it is the passenger's responsibility to promptly inform TransportHire to prevent the driver from going to the airport for pickup. Prepaid fares will be refunded after deducting admin charges, but taking a later flight incurs an extra cost. Failure to notify may result in full fare liability, and prepaid fares won't be refunded, termed as a "No Show."

“No Show” Meaning: If passenger books a private hire car with us and failed to meet the driver on pick up time, this will include airport, seaport, home, hotel, and other private address. This will include incorrect date and time of the bookings.

The driver will wait in the arrival hall up to 1 hour from flight landing time and if the Passenger fails to meet the driver within this time limit or failed to make contact via phone, email or SMS to inform their status at the airport or seaport, this will be considered as a no show.

All bookings made online or over the phone on basis of paying the driver cash, and if the booking was secured with a valid credit or debit card will be charged the full fare of transfer in the event of an no show.

All bookings pre- paid by a credit or debit card will not be re-funded in the event of a no show.

In addition, if you have made a reservation for a specific time and then you later decide to alter the times of your transfers, thus may incur an extra charge. This is purely because we may have other jobs booked in throughout the day and it would disrupt the entire days schedule for us.

For this reason, we may have to get last minute emergency cover of vehicles and drivers to accommodate the needs and requirements of our customers and jobs which will indeed cost us extra. We therefore would not pass on the full cost, but will pass on a partial and fair cost for this to the client who has requested these changes. 14A.

please ensure you are all ready for collection / pickup at the specified and agreed time, as any waiting time over 15 minutes may incur an extra charge by the driver. please also ensure you remain to the itinerary times agreed when booking as drivers work on strict hour regulations,

if you are late and our driver is running late for other jobs and we cannot make alternative arrangements, then the driver may leave and you will not be refunded. please ensure the vehicle/s is kept clean and all passengers are well behaved, if any damage is caused to the vehicle then you will be liable for charges / if for any reason our driver feels unsafe he is entitled to take you off the vehicle and you will have to make your own arrangements. you will not be refunded.

if for any reason, the desired vehicle is not available, we reserve the right to supply a larger or smaller vehicles to accommodate the total passengers, we also have the right to provide a different branded vehicle if for whatever reason we are unable to provide the actual agreed vehicle, their will be no additional charge for this.

Further more, unless a trailer is booked and paid for in advance separately at an additional cost of at least £40 each way we have the right not to provide it on the date of the transfer if any situation arises. We will usually inform you if this is the case. As much as we try our best to send a vehicle of choice to our customers this is not always going to be the case as this vehicle could be delayed in traffic, the vehicle can break down etc. this is why we can not clearly state a certain type of vehicle is going to be sent out and neither to market our service as such, as we aim to provide a continuous service.

your driver details will usually be provided 1-2 days prior to the journey, please call us to request this if you do not hear from us by then.

  1. No Animals are permitted on the Company’s vehicles with the exception of guide dogs.
  2. No Alcoholic drink may be carried or consumed in the Company’s vehicles unless otherwise agreed.
  3. No Smoking is allowed on the Company’s vehicles.
  4. No fast food i.e. chips, pizza’s, burgers etc., are permitted to be carried or consumed on the Company’s vehicles.
  5. A driver may stop passengers from bringing luggage or goods, which he considers, unfit into the Company’s vehicles. Heavy articles such as suitcases should be deposited in the rear and side luggage lockers and no article should obstruct the gangway or emergency exits.
  6. When necessary a different coach may return a party from a destination to the one that took passengers out furthermore, coaches may be used to perform other work during the waiting time at a destination unless the Hirer has expressed their wish in advance for a coach to stay with their party in which case there may be an additional charge.
  7. Any costs incurred in respect of road and bridge tolls, ferry and parking charges shall be the responsibility of the Hirer.
  8. It is an essential part of the Contract of Hire that payment in full is made before departure unless otherwise agreed.
  9. If a duplicate payment is made via card or bank transfer or a payment in error, there will be a standard admin cost of 22.5% of the total payment if we have to refund.
  10. Notices – No bill, poster or notice is to be displayed on any vehicle without prior consent of TransportHire® UK .

CONDITIONS OF HIRE (the small print) PLEASE READ

  1. If Child seat(s) are provided by the company, they are used at the sole discretion of the adult passenger accompanying the child who must satisfy themselves that the child seats are adequate, no responsibility can be accepted by the company for there use.

2 Any deviation made by the customer from the details overleaf may incur extra charges.

  1. The company / nor the contractor can accept no responsibility for any unforeseeable occurrences resulting in late arrival in any circumstances including (vehicle breakdown, traffic delays, delay from previous job etc) Your Travel/Holiday insurance may be available to cover any such occurrences, see your Travel Agent.

We will not be liable for any damages or reimbursement which occur to the client for any late arrivals, alternative transport arrangements or missed tours or events.

  1. The Company cannot accept responsibility for goods or belongings, lost, stolen, or damaged whilst on the vehicle.
  2. Your driver will assist you with your luggage if required, it is, however, your own responsibility, please make sure that it is loaded/unloaded safely. We will not be held responsible for the safety of or damage to luggage or other belongings or for anything being left behind.
  3. Although the driver will make every effort to pick up & drop off at a safe place, the company cannot accept responsibility for any injuries incurred whilst boarding or alighting the vehicle.
  4. If seat belts are provided on the vehicle Please Use Them. Omitting to do so may result in any claims for injury caused by any road traffic accident being invalidated.
  5. The driver is in complete charge of the vehicle, should he/she consider that the safety of the passengers or vehicle could be compromised, he/she is at liberty to take any action that he or she determines is appropriate.
  6. Should any of the details overleaf be incorrect we must be informed immediately, failure to do so may result in you not being collected on time or the wrong vehicle being sent etc. We will not be held responsible should you not comply with this with this request.
  7. Requests for later pickup times for your journey to the Airport, if accepted by us, would be entirely at your own risk, we will not be held responsible for any late arrival at the airport.
  8. We accept payment via Credit/Debit Card, Bank Transfer and Cheque. A deposit payment must always be paid in advance to secure your booking and to reserve your vehicle. Client may pay the full payment in advance or pay a small deposit and the remaining cash on the day to the driver.
  9. By paying a deposit or full payment to us you will automatically agree to all our terms and conditions
